An automated training process from A to Z

If it's your job to deliver training, you want trainees to go home feeling that you have taught them as much as possible. You are keen to improve the content of your trainings, and don't want to be busy with the administrative tasks around it. That's why we automated the training process for Salure's Academy. From registration to aftercare, as many tasks as possible have been taken out of the hands and heads of the Academy managers so that they can focus on the content of the trainings. What that means? We explain it step by step.

Step 1: Process enrollment in Salesforce

Keeping trainees' data in spreadsheets is old-fashioned and inefficient. Since Salure uses Salesforce, we made sure that trainees' data is put directly into their CRM from the registration form. All data is processed in Salesforce and used to automatically assign trainees to the appropriate training groups. From these groups, trainees automatically receive the right information about their training.  

Discount Codes
Since a trainee can sign up with a discount code, we made sure that the sign-up form can check if it is valid to then immediately show the discount applied. A sign-up with a discount code is processed so that Salure can easily include it in the administration process to send invoices. 

Step 2: Automatic mailing with confirmation and training information

Has a trainee applied? Then they will automatically receive a confirmation email. 14 days before the start of the training the trainee receives an email with practical information, such as location, time and what to bring. The trainee receives this email again 7 days before the training as a reminder. Because this process is recorded in an automatic workflow, each trainee receives the correct information on time. This eliminates human error and allows course managers to better prepare for the trainings.  

Step 3: Generate participant lists and name tags.

As a trainer, you would like to fully focus on the content of the training, but there are always some logistical issues involved. We have automated these tasks for Salure. The name cards and participant lists are now automatically generated based on the data in their CRM. For the tasks that the Academy managers still need to perform themselves, the team members automatically receive a reminder. The team does not have to keep a to-do list and nothing is overlooked. This leaves more (thinking) space for important matters! 

Step 4: Thanking them for participating 

After the training, each trainee receives an email to thank them for participating and the presentation of the training to review the content later. Because what information the participant should receive is defined in Salesforce, Salure's team no longer has to figure it out.  

A streamlined process 

Salure makes good use of their CRM to make work more efficient and effective. Thanks to Salesforce optimization, the entire training process is now automated. From automatically processing participant data to sending the right information in a timely manner and automatically generating name badges and participant lists. These automations allow trainers to fully focus on the core of their work - delivering high-quality training.    

To ensure the effectiveness of the training process, in addition to the optimizations, we also delivered a manual explaining how the creation and modification of training courses, forms and automatic emails works.
